Form Builder That Keeps You Compliant—Effortlessly
Unblocking teams to enable product migration
In early 2025, EQS had just acquired two U.S.-based companies with several large enterprise clients. With migration work ramping up, speed and coordination became critical.
One of the biggest challenges was orchestrating work across multiple product teams with competing priorities and limited capacity. The Form Builder quickly emerged as a top-priority feature — one that would unblock downstream teams and enable them to move forward with their parts of the migration.
By designing a scalable, flexible solution under tight constraints, our team helped unlock a path forward for multiple product areas — setting the stage for successful integration and rollout.

Driving UX and design strategy within tight constraints
When I first learned about the Form Builder feature for the Approvals module, it was immediately clear that we’d be working within a tightly scoped set of constraints:
The underlying tech would be built on Form.io, a third-party platform already selected through a technical PoC.
We had to balance customization with control — empowering users without exceeding our technical boundaries.
The feature needed to be scalable and consistent, so other product teams could reuse and extend it.
And finally, we had only two design sprints to deliver — as all teams were simultaneously working on a major product migration due by Q4 2025.
Despite all this, I led the design with a focus on delivering an intuitive and flexible experience that could evolve with the product.
Establishing foundational UX processes
As this was a new feature area, I played a key role in setting up the UX structure from the ground up. My work included:
Defining UX frameworks to handle ambiguous or shifting requirements
Aligning roadmaps and milestones with stakeholder needs and business priorities
Mapping out workstreams and clarifying roles and responsibilities
Facilitating cross-functional workshops to drive alignment on key user flows
Enabling parallel collaboration across design, product, engineering, and research
Continuously pivoting plans as requirements evolved
And crucially, documenting everything to ensure clarity and scalability

1. Enable product-wide adoption of a centralized Form Builder
Develop a scalable and customizable form-building tool usable by all product teams
Ensure alignment with our design system and brand guidelines
Build on top of Form.io as the technical foundation
2. Design a seamless form creation experience from scratch
Craft an intuitive, user-friendly experience for building and managing forms
Define a cohesive visual language, balancing design principles and technical constraints
Create a set of predefined templates to accelerate form creation and promote consistency
3. Support new markets, clients, and complex organizational structures
Optimize for use by enterprises with large employee bases and complex hierarchies
Minimize manual work for end users, especially compliance managers
Ensure compliance with local laws and requirements (e.g., data protection, translations)
Getting to know our users
At EQS we want to build a strong communication bridge between our users and product. Before I joined to reach out to real users was only through a third party from the Customers success team. So we didn't count with a proper chance to build this direct relationship with our users.
Together with my team's Project Manager we kicked off a new user research initiative were we reached out to other teams and they provided us a list of a few users we could talk to.
We did in total 8 interviews of 45min each were our users explained their pains and needs.
Some of our key findings were:
They needed an easy to use form builder in order to create forms/questionnaires for their employees compliance reporting
Clear visuals and enough guidance were something that our Compliance Cockpit in general lacked
Very enthusiasts to talking to us and it gave them a feeling of really caring for their needs
We are live!
We successfully released the new Form Builder module, enabling all product teams to create and manage forms through a scalable and consistent experience. I designed the entire flow — from the forms overview and creation via predefined templates, to the builder interface with editable fields and configuration modals, translation support, and developer handoff. The release included thorough documentation to ensure smooth adoption and future maintenance.
